We are currently accepting applications for a Maintenance Coordinator in our new, state-of-the-art manufacturing facility in Milton, WI, conveniently located north of Janesville. This position will start after 1/1/25 and will work Monday – Friday, 7:00 am to 3:30 pm, reporting to the Maintenance Manager.

Job Summary

Lead efforts to achieve the lowest overall cost of maintenance MRO (Maintenance / Repair / Operations) through controlling and managing spare parts and maintenance supply inventories.  Work involves issuing purchase orders, optimizing parts inventory levels, ordering non-stock maintenance parts, kitting and leveraging suppliers for cost savings.   Work requires an intermediate knowledge of various trades and systems, including, but not limited to: mechanical, electrical, hydraulics, pneumatics, HVAC, and plumbing.  This position will spend approximately 40% of the time working on the production floor/parts room and 60% working in the office.

Essential Duties and Responsibilities

include the following (other duties may be assigned):

  • Ownership of parts ordering cycle from start to finish
    1. Process parts requests and issue necessary requests for quotation (RFQ) as necessary
    2. Issue purchase orders and send to vendors
    3. Track and follow-up on orders
    4. Communication with Maintenance Team on order status and progress
    5. Receive and put away parts
    6. Assist with job staging and coordinating
  • Manage and maintain spare parts inventory
    1. Set-up and enter new parts into Computer Maintenance Management System (CMMS)
    2. Conduct routine audits of inventory levels and compliance.
    3. Establish and maintain proper minimum and maximum levels and make sure parts are adequately stocked
  • Complete ownership of parts storage areas
    1. Work with all departments to ensure that Maintenance areas stay clean and organized
    2. Monitor areas frequently for prompt attention to new shipments
  • Work with other CQC facilities on parts procurement and standardization
  • Work with vendors to expedite part orders when needed
  • Hold vendors accountable on product quality and delivery terms
  • Develop agreements with vendors on common items to stock
  • Assists with the commissioning of new equipment including, but not limited to:
    1. Spare parts recommendation and procurement
    2. Critical Spare evaluation
    3. Data entry for a new asset in CMMS
  • Maintain clear communication with Maintenance Management on budget compliance and identify cost saving opportunities
  • Monitor and report on spare parts spending
  • Develop and assemble parts kits for common PMs and rebuilds to help streamline the maintenance execution process
  • Develop and optimize spare parts ordering and management system
  • Train others on proper utilization of inventory management/CMMS and ensure that proper procedures are being followed
  • Completes and maintains all company-required performance and maintenance paperwork, records, and documents
  • Answer work-related calls outside of work on a Company-provided cell phone within a reasonable amount of time.  At times, be ‘on-call’ to handle over-the-phone or in-person service calls within a limited timeframe.
  • Operate material handling equipment in a safe manner, and drive personal vehicle for work as needed
  • Travel to CQC facilities, training, and/or part vendors
  • Perform all tasks assigned by the Supervisor, while following all company, safety, and quality policies and procedures
  • Maintain regular attendance at work

Qualifications

EDUCATION / EXPERIENCE:

  • High School Diploma required.  Two-year maintenance-related degree is preferred.
  • Previous maintenance or mechanical experience required; preferably in a manufacturing setting
  • Advanced knowledge of how to operate a PC, including a CMMS, ERP/Purchasing Software,  Excel, Word, SharePoint, and Outlook
  • Demonstrated problem solving skills
  • Ability to perform math at an advanced level
  • Drafting experience would be helpful
  • Must have good driving record and valid driver’s license
